Privacy notice

Moss Executive is the trading name of Mark Moss. For data-protection purposes, Mark Moss trading as Moss Executive is responsible for the personal information described in this notice.

Information collected

When you enquire or book, Moss Executive may receive your name, contact details, company, journey locations, travel dates and times, passenger and luggage information, flight or train details, payment and invoice records, and any accessibility, child-seat, concierge or other requirements you choose to provide.

How information is used

Information is used to respond to enquiries, prepare quotations, arrange and deliver journeys, process and record payments, maintain required private-hire booking records, communicate about services, meet legal and tax obligations, and protect clients and the business. Optional marketing is sent only where separate consent has been given.

Lawful basis

Information is generally processed because it is necessary to respond before entering into a contract, to perform a booking contract, to comply with legal obligations, or for legitimate business interests such as record keeping and handling queries. Optional marketing relies on consent and can be stopped at any time.

Sharing

Information is shared only where needed to deliver a requested service, process payment, use essential technology providers, comply with law, or protect legal rights. It is not sold. Payment information handled through Square and messages sent through WhatsApp are also processed under those providers' privacy terms.

How long information is kept

General enquiries that do not become bookings are normally deleted 12 months after the last meaningful contact. Private-hire booking and dispatch records are kept for at least 12 months after the journey, or longer where another legal or business requirement applies.

Invoices, payments and records needed for tax and accounting are kept for the period required by HMRC—normally at least five years after the relevant Self Assessment filing deadline. Records needed to establish, exercise or defend a legal claim may be retained for up to six years where appropriate.

Accessibility, health-related or similarly sensitive journey requirements are normally deleted within 30 days after the journey unless the client asks for them to be retained for future bookings, or they are needed in connection with an incident, complaint or legal obligation. Marketing contact details are retained until consent is withdrawn or after 24 months without meaningful engagement, whichever comes first. Retention periods are reviewed and information is securely deleted or anonymised when no longer needed.

Your choices and rights

You may ask to access, correct or delete personal information, restrict or object to its use, or withdraw marketing consent where applicable. Some information may need to be retained to meet legal obligations. Contact Moss Executive using the details above. You may also complain to the UK Information Commissioner's Office.

Website analytics and cookies

With your consent, we use Google Analytics 4, provided by Google, to understand visits to this website. It receives page views, browser and device information and associated online identifiers. Analytics cookies (_ga and _ga_*) are set only after you select Accept analytics and are configured to expire after 90 days. Your cookie choice is stored in your browser for 90 days.

Declining analytics does not affect enquiries or bookings. You can reopen Cookie settings at the bottom of any page and decline to withdraw consent. Withdrawal stops future collection and removes our Analytics cookies; it does not automatically delete information already collected. Contact us using the details above for data-rights requests.

We do not send your enquiry form contents, contact details or WhatsApp message text to Analytics. This installation omits page query strings and referrer details, and does not enable advertising personalisation or remarketing. Google may process analytics information outside the UK under its applicable safeguards. See Google Privacy Policy and how Google uses information from partner sites.

WhatsApp enquiries

If you choose WhatsApp, your completed request is transferred to WhatsApp so it can be sent to Moss Executive. Do not include unnecessary sensitive information.
